How we handle your personal data

This privacy policy is applicable for processing of personal data within Chefakademin i Stockholm AB, company registration number 556692-9468 (referred to as ”Chefakademin” or ”we/our/us” in this policy). Chefakademin acts as personal data controller, and is responsible for the legality of the processing.

The majority of the personal data we process is collected when you visit one of our websites: chef.se, chefakademin.se and mgruppen.se. All our personal data processing is undertaken in accordance with current data protection regulations (including the General Data Protection Regulation, EU 2016/679, and national Swedish data protection laws), in order to protect your personal integrity. By ”processing”, we refer to the collection, storing, transferring and similar actions concerning your personal data. By ”personal data”, we refer to any information related to an identified or identifiable physical person, such as name, identification number, location information or online identifiers, as defined in the General Data Protection Regulation (GDPR). Other terms used in this policy are also to be interpreted the same way as stated in the GDPR.

Here is an overview of the ways in which we process your personal data, why we do it, for how long, and which parties we might share your data with.

We collect personal data from you when you (i) register a user account on chef.se, mgruppen.se or another web site or digital service provided by Chefakademin and/or buy our products or register for a subscription, (ii) sign up for a newsletter, event, course or seminar, (iii) contact our customer service, and (iv) when you are browsing one of our web sites.

In some cases, we might collect personal data from third parties – for example registry information from Bisnode, such as contact information and company credit score. Some automatic data transfer also takes place with and/or from social media platforms such as Facebook and LinkedIn. This data exchange only occurs if you yourself has chosen to create a profile on any of these platforms, and is regulated by the user agreement you have accepted on the platform in question.

User account

When you create an account on any of our web sites, we will process your personal data in order to administer the account and provide the requested service. The lawful basis for this processing is the fulfillment of our contract with you. For this purpose, we will process the data for the duration of the time that your account remains active. After having terminated your user account, or having requested deletion through our customer service, your personal data will be removed.

Subscription services and purchases

When you purchase any of our subscription products, such as Chef magazine or Chefboken, we will process your personal data in order to deliver your purchased product and/or any associated digital services, as well as for billing purposes and customer complaints. The lawful basis for this processing is the fulfillment of our contract with you. Personal data regarding former subscribers is subject to continuous data erasure, no later than two years after your last subscription period expired.

Training programs, courses, seminars and other events

When you sign up to partake in any of our training programs, courses, seminars or events, we will process your personal data in order to conduct and administer the event in question. The lawful basis for this processing is the fulfillment of our contract with you. Personal data regarding former participants is subject to continuous data erasure according to our routines, depending on the type of course or training you took part in.

Business contacts and registrations of interest

Personal data concerning business contacts or registrations of interest that we received for courses and events are registered to maintain a contact list. Please see further information under the section about processing for marketing purposes below. The lawful basis for this processing is our legitimate interest in maintaining business relations and communicating with registrants. Personal data is processed for the time necessary to fulfill the purpose of the processing. The personal data will be erased hastily after you no longer wish to receive marketing messages from us.

Recruitment

Personal data acquired in connection with recruitment for open positions at Chefakademin will be processed, sometimes within the data registers of external recruitment partners employed by Chefakademin. The lawful basis for this processing is our legitimate interest, as it is necessary to process the personal data in order to handle your job application. The personal data will be retained by us and/or our recruitment partner until the position has been filled.

Marketing

Personal data in the form of e-mail addresses will be processed in order to market our products, for example through newsletters. In some cases, we acquire business contact information through provider services such as Bisnode. The primary purpose is to direct marketing communication to a target group we believe would benefit from and/or be interested in the products and/or services we provide. The lawful basis for this processing is our legitimate interest to keep a list of prospective customers, maintain business relations and communicate with registrants. You can choose to no longer receive marketing messages by clicking the link found at the bottom of our e-mail send outs. If you opt out from this type of communication, we will no longer process your personal data for this purpose. We will also delete your personal data if there are no other grounds for retaining it, such as an active user account or an unresolved customer service ticket.

Newsletters

If you sign up to receive our newsletters, we will process your personal data in order to deliver the newsletter according to your request. The lawful basis for this processing is the fulfillment of our contract with you. You can choose to no longer receive newsletters by clicking the link found at the bottom of our e-mail send outs. If you opt out from this type of communication, we will no longer process your personal data for this purpose. We will also delete your personal data if there are no other grounds for retaining it, such as an active user account or an unresolved customer service ticket.

Customer service and business development

Our customer service will process any correspondence and feedback regarding our products, services and purchases, with the purpose of providing service to our customers and partners and improving our products and services. The lawful basis for this processing is our legitimate interest to provide service to our customers and partners and improve on the company’s products and systems. Personal data will be processed for the duration that your support ticket remains open, and will be retained for about six months after.

Statistics

We will process user generated data such as clicks and viewing history, technical data and interactions in the form of session length and traffic sources. This information is collected through the use of cookies. The lawful basis for this processing is our legitimate interest to improve and develop our systems, as well as statistics and quality assurance. Data erasure will take place in accordance with our cookie policy.

Ledarna membership

Chefakademin provides certain services for members of the union Ledarna. Union membership status is considered sensitive information. If you consent to letting us register membership information, the lawful basis for this processing is our contract fulfillment towards you by offering discounts and digital services included in your Ledarna membership. Chefakademin will regularly check that your membership is still active. If you are no longer a member of Ledarna, we will erase this personal data. You can revoke your consent at any time, but then no longer access the services associated with your membership.

Health information

If you provide information regarding allergies or special diets ahead of an event you will be partaking in, you consent to the processing of this data by us and our catering partner. This type of health related data is considered sensitive information. The lawful basis for this processing is our contract fulfillment towards you, in order to meet your dietary requirements. The personal data will be kept for as long as we need to fulfill our contract with you. You can revoke your consent at any time, but please note that revoked consent means that we can no longer offer you specialized diet at the event.

Surveys and evaluations

Chefakademin will process personal data gathered in connection with surveys and evaluations aimed at improving our products and services. The lawful basis for this processing is our legitimate interest to improve and develop our products and services. Data erasure will take place continuously according to our routines, but no later than three years after the survey has been concluded.

Third party data sharing

Chefakademin employs partner companies to carry out certain services on our behalf. Sometimes they need to process your personal data to be able to deliver these services. We might share your personal data with such third parties for the following uses:

  • IT services
  • Marketing services
  • Education and recruitment services
  • Printing and address labeling services
  • Distribution services
  • Payment services
  • Catering services

These partner companies are designated personal data processors, and are only allowed to process your personal data on our behalf and according to our instructions. Each personal data processor is bound by contract in accordance with data protection laws to ensure the safety of your personal data.

We may also share your personal data in the event that Chefakademin is acquired by or merged with another company. Normally, we do not transfer your personal data to parties outside of the EU/EEA region. If this should be the case, we ensure that the transfer is compliant with the terms stated by the GDPR and EU standard clauses.

Apart from this, we will only share your personal data when the law requires us to do so, or with your consent. We will never sell your personal data to third parties for marketing purposes or similar.
